How can we help?
Answers to the most common questions about BizBaby — for business owners, their teams, and their customers.
Account & login
I work for a business that uses BizBaby — how do I log in?Team members
Your employer adds you to their team and BizBaby emails you an invitation link. Open it, choose a password, and you are signed in straight away. After that, use the normal BizBaby login with your email and that password. Not invited yet? Ask the owner.
I forgot my password — what do I do?
Use the "forgot password" link on the login page to reset it by email. For security, the team can't set a password for you, but they can help if the reset email doesn't arrive.
How do I add team members?Business owners
From your settings you invite them by email and choose what each person can see. Every plan includes one user, and extra seats are $10 each per month on Essential, $15 on Premium and $25 on Growth.
Can I use BizBaby on my phone?Team members
Yes — the mobile app is on Essential and up, giving your team their jobs, and calls and messages on Premium and Growth.
AI Receptionist
What is the BizBaby AI Receptionist?Business owners
It is an AI receptionist for your business across phone calls, texts, website chats and email. It can answer missed calls, respond from your business information, take messages and propose supported actions; written replies stay approval-first unless you enable automatic sending.
Can the AI Receptionist answer phone calls?Business owners
Yes, on Premium and Growth. When nobody picks up, in or out of hours, it answers, takes a message, and answers questions from the business information you give it. It can request a booking, which a teammate approves before it becomes an appointment.
Will the assistant do things without my approval?Business owners
No. Every action — a booking, a new customer, a to-do, a follow-up — is proposed and waits for a person to approve it; approval is the default on every action it has. You can switch on auto-send once you trust it.
Is the AI Receptionist safe with my customers' data and payments?Business owners
Yes. It only shares account details with a verified customer, it is instructed never to discuss card numbers, and it has no tool that could take or charge a payment — that is structural, not a setting.
Which plan includes the AI Receptionist?Business owners
Premium and Growth. It is billed by usage on top — roughly 11¢ a started call minute and under half a cent per written reply, inside a monthly cap you set.
Can the AI Receptionist run up a bill I did not expect?Business owners
No — you set a monthly dollar cap, and it starts at $20. The cap covers written replies and voice minutes together, and once it is reached the receptionist stops taking on new work rather than spending past it.
Customers & bookings
How do my customers book with me?Business owners
You get a booking page and a website where customers pick a service and an available time. You can also embed booking and job-request forms on your own site.
How do I book a service with a business on BizBaby?Their customers
Open the booking link the business gave you, choose the service and a time that works, and submit the appointment. The business can then contact you with updates.
Can I reschedule or cancel my appointment?Their customers
Only when the business asks you to confirm. That request comes by text with a link, and the appointment also shows in your customer portal if the business offers one. Once you confirm, only the business can cancel. There is no self-service reschedule - contact them.
Can customers pay online?Business owners
Yes. Customers can pay by card, and you can require payment upfront for appointments or send an invoice for jobs. Tips can be collected too.
What is an appointment subscription?Business owners
A repeating appointment on Growth. Pick weekly, every 2 or 4 weeks, monthly, quarterly, every 6 months or yearly, and BizBaby books each visit ahead. You pause, skip or resume the series from the subscription page. Recurring charging is a separate payment subscription.
What is a lead?Business owners
A contact who has shown interest but has not booked. Leads come from your website's Quick Request or Contact Form, or from marking a caller or texter as a lead in the Call and Message Center. Each one carries a status you move along. Included on Growth.
Features
Can I organize and prioritize communications?Business owners
Yes. Conversations group by customer, and threads with unread messages sort to the top — that inbox is on Premium and Growth. The follow-up flag that lifts a thread higher belongs to Scheduled Follow-Ups, which is Growth.
Can I import my existing customer data?Business owners
Yes. Upload a CSV from Customers and the importer matches your own headings - name or first and last name, email, phone, address, zip code. There is no blank template to download; the page lists the headings it accepts, and you can export your current customers to CSV. Included on Essential and up.
What payment options do customers have?Business owners
Card and bank payments. The customer pays straight from the invoice link, which opens without a password, on Essential and up. Paying from their own client cabinet, where balances and history sit together, is Premium and Growth.
Can I segment my list and target specific audiences?Business owners
Yes. Build a segment on lifetime spend and on how many days since the customer's last booking, combined with AND or OR, and optionally include every lead or vendor in the same send. Each campaign then reports delivered, bounced, opens and clicks. Included on Growth.
Can I customize to-do lists per job?Business owners
Yes — start from the service template, then add or remove tasks to fit the specific job. Included on Premium and Growth.
How are recurring payments handled?Business owners
The card on file is charged automatically on the chosen cycle. Every attempt is recorded against the subscription, and successful charges land in your revenue reports. Customer receipt emails are a setting on the Recurring Payments page: off, final failures only, or success plus final failure. Off is the default. Included on Growth.
Can I use forms for non-standard service requests?Business owners
The request form takes a free-text Comments box, alternative dates, and up to four photos - all on Essential and up. There is no custom-field builder. To ask your own questions you add service attributes, where the customer picks from options you define. Those are on Growth.
Can customers track progress of their requests?Business owners
Yes — every request shows its journey from quoted to scheduled to done, live. Included on Premium and Growth.
Can customers easily access and approve quotes?Business owners
Yes — a quote arrives with a link to review, sign and approve from any phone, and quoting itself is on Essential and up. Sending it by email is included there; sending it by text needs Premium or Growth, because that is where your business number lives.
How frequently are reports updated?Business owners
In real time — you pick the date range and the report reads your live records at that moment, so a payment taken five minutes ago is already in the total. There is no overnight batch. Dates follow your organisation's timezone, so today means today where you actually work.
How does BizBaby simplify scheduling?Business owners
Appointments sit on a timeline scheduler with a lane per worker, and you drag one to a new time or a different worker. Jobs, visits, estimates and invoices have their own calendar view, one record type at a time, read only. Included on Essential and up.
Do service alarms go off on a date or on mileage?Business owners
Either — set a date, set an odometer reading, and the alarm waits for whichever one you gave it. The vehicle list and its alarms are on Essential and up; a mileage alarm reads from repair invoices and maintenance reports, which are Premium and up.
What can BizBaby do for my business?Business owners
It turns leads into customers and handles the whole job: a website and booking page, quotes and estimates, scheduling your crew, invoicing and payments, customer texts and emails, a call center, and an AI receptionist that answers when you can't.
Does BizBaby handle scheduling?Business owners
Yes. You can schedule appointments and jobs, assign them to workers, manage working hours, and your customers can book available times themselves online.
Can I send quotes and estimates?Business owners
Yes, on Essential and up. Send a quote or estimate, let the customer approve it online, schedule the work, then convert the quote into an invoice. Collecting a deposit before the job starts is a Premium and Growth option.
Can I message my customers by text and email?Business owners
Email is on Essential and up. Texting and calling from your business number are on Premium and Growth, and every call, text, email and portal chat lands on the same customer thread.
Is there a mobile app for my crew?Business owners
Yes, on Essential and up. Your team gets a mobile app for their jobs, and on Premium and Growth it also carries calls and messages.
Does BizBaby integrate with QuickBooks?Business owners
Yes, on Premium and Growth. Connect your QuickBooks company once and customers, invoices, payments and refunds carry across on their own, so your books match what actually happened in the field without anybody re-keying it.
What's the difference between a job and an appointment?Business owners
An appointment is a simple bookable service a customer picks a time for and can pay for upfront. A job is a bigger project that starts as a request, gets a quote or estimate, becomes scheduled work, and ends in an invoice. BizBaby handles both.
Can I automate follow-ups and reminders?Business owners
Yes, on Premium and Growth. In the Automation Center you build each rule from a trigger, an action and a delay, and it reads back as a sentence: text a review request the day after a job, or raise a dashboard warning when an invoice goes overdue.
Can I access the hub from anywhere?Business owners
Yes — desk, laptop, or phone; the same inbox and business number follow you into the field. Included on Premium and Growth.
What customer information can be stored?Business owners
Contact details, one address, jobs, appointments, visits, invoices, payments, estimates, uploaded files and photos, and a free-text comment - all on Essential. There is no separate property record: a customer holds a single address. Order and payment subscriptions attach to the customer on Growth.
Can customers set up automatic payments?Business owners
The business sets these up, not the customer. On Growth you can put a customer's saved card or bank account on a recurring charge schedule, and BizBaby charges it on each scheduled date. There is no self-serve autopay switch in the client cabinet.
Can campaigns be scheduled and automated?Business owners
You can schedule a campaign for one date and time, and cancel that schedule any time before the send starts. Campaigns do not repeat on a cycle - repeat sending comes from event-triggered automations, which are included on Premium and Growth. Campaign scheduling is included on Growth.
Can I track completion in real time?Business owners
The office sees it, not the customer. Each tick and photo saves the moment the worker submits it, and the jobs and appointments lists show a done-out-of-total count per record, with a full event log behind it. Checklists are on Premium and Growth.
What payment methods are supported?Business owners
Card and bank payments, for one-off visits and for recurring agreements. Cards are 3.1% + 30¢ on Essential and 2.9% + 30¢ on Premium and Growth. Bank payments are 0.8% capped at $5, on Essential, Premium and Growth. Stripe holds the card; we keep only the last four digits.
Can I set up recurring schedules from bookings?Business owners
Recurrence is chosen when the appointment is booked: pick a frequency on the form and the subscription is created with it. Choices are weekly, every 2 or 4 weeks, monthly, quarterly, every 6 months, and yearly. An appointment already booked as one-off cannot be switched to recurring. Included on Growth.
Can customers access historical records?Business owners
Yes — past appointments, invoices, quotes, and receipts stay available in their cabinet. Included on Premium and Growth.
What payment options do customers have?Business owners
Card and bank payments. The customer pays straight from the invoice link, which opens without a password, on Essential and up. Paying from their own client cabinet, where balances and history sit together, is Premium and Growth.
Can I track marketing campaign effectiveness?Business owners
Yes. BizBaby keeps the Google or Bing click id and the utm_source, utm_medium and utm_campaign a visitor arrived with, then the channel report totals jobs, appointments and gross sales against each campaign — so you can see which advert actually paid for itself rather than which one got clicks. Included on Growth.
Can I dispatch workers while on the go?Business owners
Each worker opens their own day on their phone — statuses, photos and payments — and you can book a new appointment onto someone from anywhere. Reassigning a worker or moving an existing job is done in the browser. The app is on Essential and up; the checklists a worker ticks off are Premium and up.
Where does a vehicle's mileage come from?Business owners
From the work — every repair invoice, maintenance report and accident carries the mileage it happened at, and an alarm reads the highest of them. Nobody types a reading in twice. Those three records are Premium and up, so on Essential a date alarm is the one to use.
Where does chat fit in?Business owners
Signed-in customers can message your team right from their account — chats land in the same thread as calls, texts, and email, with no carrier fees. Included on Premium and Growth.
Is customer information kept secure?Business owners
Yes — data is scoped to your organisation with permission-controlled access, and details go only to the verified customer they belong to.
How is payment information secured?Business owners
Cards go through Stripe: BizBaby stores only the last four digits and a Stripe token, never the full number. Bank payments differ - the account and routing numbers are stored in BizBaby's own database and sent to Stripe to set up the ACH mandate. Records stay scoped to your organisation.
Can workflows trigger on customer actions?Business owners
Yes. Automations fire on business events: a welcome when you add a customer and send them an invitation, a feedback request three days after a job is marked completed, and a win-back when a customer has been quiet for a set number of days. Included on Premium and Growth.
Can I create checklists for different services?Business owners
Yes — each service carries its own template, from a 6-task gutter run to a 22-task move-out. Included on Premium and Growth.
How do billing and invoicing work for subscriptions?Business owners
Each cycle bills itself and reconciles into your reports; contract visits can be no-cost so nothing double-bills. Included on Growth.
Can forms match my website’s branding?Business owners
Yes — colors, fonts, and styling are customizable so the form keeps your site’s look exactly. Included on Growth.
Can customers manage account info and preferences?Business owners
Yes. In the cabinet a customer edits their contact details and service address, changes their password, and manages saved cards and bank accounts, including which one is primary. Email notification preferences are changed from the link in the email footer, not in the cabinet. Premium and Growth.
Can follow-ups for unpaid invoices be automated?Business owners
Yes — friendly reminders go out on your schedule until the invoice is settled; you never send an awkward text again. Included on Premium and Growth.
Can I track behavior across channels?Business owners
The Website Analytics report groups first-time job requests and appointments by the site they came from - google.com, google.com/ads, direct and so on - and shows jobs, appointments, new leads and gross sales for each. It counts bookings and money, not visits. Growth only.
What about last-minute changes to a worker's day?Business owners
Reschedule the job or swap the worker on the same record, and everyone assigned sees the new time on their own list. A date or status change writes a log line with the name and the time. Swapping the worker on its own does not write one.
Can I see what one truck has cost me over its whole life?Business owners
Yes. The Cost Graph draws one running-total line per active vehicle, built only from that vehicle's repair invoices; voided ones are excluded. Maintenance reports and accidents carry mileage, not cost, so they feed the Mileage Graph instead. Both graphs need Premium or Growth.
Is communication history tracked?Business owners
Every call, text, and email attaches to the customer’s thread — the full relationship in one scroll. Included on Premium and Growth.
Can multiple team members update records at once?Business owners
Yes — office and field staff see the same live card, with roles controlling who can change what.
Can customers manage their own billing?Business owners
Yes — the client cabinet shows payment methods, history, and open balances, all self-serve. Included on Premium and Growth.
Can system emails match my brand?Business owners
Yes. The layout your automatic emails use - logo, fonts, text colors, headline size - is editable on Growth. The wording of each automatic email is edited in the Automation Center, which is included on Premium and Growth.
Are recurring tasks and reminders supported?Business owners
Tasks repeat daily, weekly, every two weeks, monthly or yearly, and the assignee gets a due-today and an overdue push in the mobile app - Premium and Growth. Jobs themselves never recur; recurring appointments, which carry the service checklist onto each new appointment, need Growth.
Can customers pause, cancel, or reactivate?Business owners
You or a worker pause, resume or end a subscription from its record, and every change is stamped with a written reason, so the history says why a route went quiet. Customers do not change it themselves — a holiday pause comes through you. A paused subscription resumes; an ended one is final. Included on Growth.
What types of forms can I create?Business owners
Job request forms and appointment booking forms embed on your site from Essential up. The Quick Request and contact forms, which capture website enquiries, need Premium or Growth. Pricing that moves with what the customer picks needs Growth, and so does styling the form to your site.
What can customers actually do in the cabinet?Business owners
Request work, approve and sign quotes, pay invoices and balances, track jobs, and review history — 24/7. Included on Premium and Growth.
Can I customize invoices to my brand?Business owners
Your company logo sits on the quote, the invoice and the PDF the customer downloads. Quotes go further: on Growth a quote design template gives the document its own header image, title and wording and can carry your customer reviews, and you can keep several and set one as primary.
Can third-party data be integrated?Business owners
Website analytics are built in on Growth, so ad channels and campaigns land in the same reports. To combine BizBaby numbers with anything else, six report tabs download as CSV or PDF: Sales, Financial Summary, Services (Jobs), Services (Appointments), Itemized Services and Website Analytics. Customers and Territory have no export.
How do I track whether a job got finished?Business owners
Jobs run Draft, Approved, In-progress, Completed, Canceled. Appointments run Waiting, In Process, Done, On Hold, Canceled, so an appointment can be parked on hold. Each record keeps a log of who created it, edited it or changed its status, and when.
Will BizBaby tell me before an inspection or registration expires?Business owners
Yes — each one raises its own warning thirty days before the date on the vehicle, and it clears itself as soon as you update that date. Included on Essential and up.
How is sensitive communication protected?Business owners
Conversations are scoped to your organisation with permission-controlled access — customer details go only to the verified customer.
Can I generate reports from customer data?Business owners
Yes — what a customer has spent and how often they book are built in on Essential and up, so you can see who is worth keeping. Which advertising channel brought them is a Growth report, because that is where the campaign tracking lives.
Are there reminders for upcoming payments?Business owners
Yes, but they sit on different plans. The reminder sent before an invoice is due is part of automatic invoice follow-ups, on Premium and Growth. The failed-payment email to the customer is a required system email and goes out on Essential, Premium and Growth.
How reliable is delivery?Business owners
Every send is tracked per campaign — delivered, bounced, invalid, marked spam or unsubscribed, plus opens and clicks — and the numbers land on the campaign's own stats page, so you see what actually arrived rather than what was sent.
Can my customer see the checklist as it is completed?Business owners
The crew ticks each task on site and the office watches it fill in, with photos attached where you require proof — so you can answer "is it done yet?" without ringing anyone. It is your internal record: the customer's portal shows their quotes and invoices, not the checklist. Included on Premium and Growth.
Can I offer discounts or promotions on subscriptions?Business owners
Yes — and the discount is set per frequency, as a percentage off your one-off price. Weekly, every two weeks, every four weeks, monthly, quarterly, every six months and yearly each carry their own number, so the customer sees exactly what committing saves them at the moment they book. Included on Growth.
How secure is the collected data?Business owners
A submission goes straight into your own organisation account — no third-party form service sits in the middle holding your leads, and nobody outside your organisation can read them. Which of your own team can open a request is decided by their role.
Can customers view and download documents?Business owners
Yes — quotes, invoices and receipts download as PDFs straight from their account, the same documents you would have emailed them. Included on Premium and Growth.
Are invoicing and payment reports available?Business owners
On Essential and up you get Sales, Financial Summary, Services (Jobs), Services (Appointments) and Itemized Services, each over a date range you pick, each with a CSV or PDF download. Customers and Territory have no export, and there is no outstanding-balance report - Due and Overdue totals sit on the invoice list.
What metrics can I track?Business owners
On Essential and up: gross sales, work value, tax and tips, sales by service, itemized services, financial summary and per-customer history. Website Analytics - lead channels and ad campaigns - is Growth. Worker hours are Premium and up; hours performance analytics is Growth. Reports show no visit counts.
Are there notifications for schedule updates?Business owners
Customers get an appointment confirmation and a cancellation email, on Essential and up. A text when an appointment is booked needs Automations, on Premium and Growth. Nothing is sent when a job is moved or reassigned; workers see the change in their own list.
Can I keep the registration and insurance documents on the vehicle?Business owners
Yes — files attach to the vehicle record itself, so the person who needs the paperwork is not hunting through the cab for it.
Do calls ring my personal number?Business owners
Your business number forwards where you want — answer on your cell without ever exposing it. Included on Premium and Growth.
Does the crew see customer info in the field?Business owners
Yes — the full customer wiki works on any phone, map and gate codes included. Included on Essential and up.
What are the processing fees?Business owners
Cards are 3.1% + 30¢ on Essential and 2.9% + 30¢ on Premium and Growth. Bank payments are 0.8%, capped at $5, on those same three plans.
Do I pay per email?Business owners
Transactional email is $0.0007 per accepted recipient on Essential and Premium, and $0.0005 on Growth. Marketing campaigns are $0.001 per accepted recipient on Growth.
Do photos attach to specific tasks?Business owners
Yes — require photos on the tasks that need proof, and they file themselves on the job record. Included on Premium and Growth.
Do subscription visits show on the normal calendar?Business owners
Yes — they land on the same schedule as everything else, with crews assigned like any other job. Included on Growth.
Can customers attach photos when they request work?Business owners
Yes — a request form can take photos, so you are pricing from what the customer actually has rather than from their description of it.
Is the cabinet secure?Business owners
Yes. A customer signs in to their own account, and every record they can reach is looked up by their customer id and your organisation id together — so one customer can never open another's invoice, and no other business's data is reachable at all. Card numbers are not stored here either: Stripe holds them and the cabinet shows only the last four digits.
Do down payments work with estimates?Business owners
Yes — require a deposit at approval; the balance carries to the final invoice automatically. Included on Premium and Growth.
Can I export reports?Business owners
Six report tabs export: Sales, Financial Summary, Services (Jobs), Services (Appointments), Itemized Services and Website Analytics each download as CSV or PDF for the date range on screen. The Customers and Territory tabs have no export button. Reports are on Essential and up; Website Analytics needs Growth.
Can several workers share one job?Business owners
Yes — assign one worker or a whole crew to the same job or appointment; everyone assigned sees it on their own schedule. Included on Essential and up.
Does BizBaby track my vehicles by GPS?Business owners
Your team, not your trucks. When the crew uses the BizBaby mobile app it sends their location, and the Work Progress Tracker replays each worker's day as a list or a map — so you can see where the day actually went. There is no tracker in the vehicle itself. The Work Progress Tracker is on Growth.
What is the Notepad?Business owners
A place to keep the notes a business actually runs on — supplier prices, gate codes, the wording you reuse in quotes — organised in folders instead of scattered across phones and sticky notes. Included on Essential and up.
What is the difference between a checklist and a task?Business owners
A checklist belongs to the job and gets ticked on site. A task is a piece of work with an owner and a due date — it can stand alone, or hang off a job, visit, quote, invoice or request. Included on Premium and Growth.
Can I put optional extras on a quote and let the customer choose?Business owners
Yes — mark a line optional and the customer decides whether it is in. The total follows what they pick, so an upsell does not need a second quote. Included on Essential and up.
Which of my service areas make the most money?Business owners
Revenue reports break down by service area, so you can see which patch pays and which one you are driving to out of habit. Included on Growth.
Can I price a job by home size, or by what the customer picks?Business owners
Yes — attributes let a service price itself from what the customer selects, which is how cleaning gets priced by home size instead of by guess. Included on Growth.
Can customers choose a repeating visit themselves when they book?Business owners
Yes — a customer can pick a weekly, biweekly or monthly rhythm as they book, and take the discount that comes with committing. Included on Growth.
Do calls, texts and email all land in one place?Business owners
Yes — calls, texts, email and the chat a signed-in customer sends from their account are all rows on the same customer thread, so the history reads in one scroll.
What is route optimisation?Business owners
It orders one worker's appointments for a single day so the driving is shortest, using an external routing service, and you can rebuild or recalculate the route after a stop moves. A route belongs to a worker and a date; there is no vehicle to assign. Included on Essential and up.
What is a service area?Business owners
The ZIP zones you work, on Essential and up. The default accepts everything; switch 'Outside your area' to 'Decline politely' and out-of-area requests are turned away on your booking forms and by the AI receptionist. Your own staff can still book anywhere. Growth adds the Territory revenue report.
What is a ticket?Business owners
A record of something that went wrong and has to be followed to a finish — a complaint, a callback, damage on site. It holds the description, photos and files, and it stays open until somebody closes it, so the problem does not live only in one person's memory of a phone call. Included on Growth.
What is a vehicle repair invoice?Business owners
The record of money spent on a truck: the repairs done, the mechanic, the cost, and the mileage at the time. Cost and the repair list live only here; a maintenance report and an accident record carry mileage but no cost. Premium and Growth.
Can a task be marked blocked rather than just left open?Business owners
Yes — blocked is its own status and carries the reason with it, so a stalled piece of work says why instead of quietly sitting on the list. Included on Premium and Growth.
What is the price book?Business owners
Your saved services, materials and prices, with the taxes and job details attached. An estimate is built by picking from it rather than typing the same lines again, so two people quoting the same work quote the same number. Included on Essential and up.
What is a service attribute?Business owners
An attribute is a question your service asks the customer, and each answer can move the price or the time. Home size, number of rooms, how dirty it is — the booking form prices itself from what they pick instead of making you quote every job by hand. Attributes also carry the per-frequency discount that makes a weekly customer cheaper than a one-off. Included on Growth.
What is an estimate reminder?Business owners
An automatic nudge on an estimate the customer has not answered yet. Three of them run off the moment the estimate is sent, on delays you set, and the important part is that they check again before each one goes out — the moment the customer approves, the rest stop. Nobody gets chased for something they already said yes to. Included on Premium and Growth.
What is contact blocking?Business owners
Blocking a number turns away its calls: the caller hears that the phone is blocked and nobody rings. Texts from a blocked number still save to the thread, but arrive already marked read and filed as spam, so they do not add to your unread count. Premium and Growth.
What are advanced service hours?Business owners
It is one grid for the whole business: for each day of the week and each hour, whether you take bookings and how wide the arrival window is. It is not set per service. Separately, a service can be limited to its own workers' free times. Included on Premium and Growth.
Does a task record who assigned it and who finished it?Business owners
Yes — who created it, who assigned it, who it went to and who completed it are all on the task, with the time it was done. Included on Premium and Growth.
What is a late fee, and how do due dates work?Business owners
You set how many days an invoice has before it is due, and a percentage to add once it passes. From then on the invoice carries its own deadline and its own penalty, so the awkward conversation is a line on the document rather than a phone call you have to make. Included on Premium and Growth.
What is the client cabinet?Business owners
The client cabinet is your customer's own account. They request work, approve and sign quotes, pay invoices, follow a job and pull past receipts without calling you — the same records you see, scoped to them. Included on Premium and Growth.

Getting started
What is BizBaby?
BizBaby is an all-in-one platform for local service businesses. It gives you a website, online booking, quotes and invoices, customer messaging by text and email, a call center, an AI receptionist, and a mobile app for your crew — all in one place.

A new website is purchased once, then includes a 90-day Growth trial. Saving the website payment method for later plan or usage charges is optional and requires your consent.
How long does it take to get set up?Business owners
Most businesses are up and running the same day. You add your services, hours and team, and onboarding help is included if you want a hand.
Do I need to be technical to use BizBaby?Business owners
No. Everything is point-and-click: building your website, adding services, sending invoices. If you get stuck there is a Help Center, step-by-step guides, and a contact form that reaches the team from inside your dashboard.
Can I bring my existing customers over?Business owners
Yes. Customers, then Upload from CSV, takes a .csv file up to 1 MB and about 10,000 rows. Name your header columns name (or first_name and last_name), email, phone, address, zipcode so they are recognized, and you can fill in missing details row by row before syncing.
How should I price a cleaning job?Business owners
Work from your own costs, not a competitor's price. The free cleaning pricing calculator turns hours on site, products, travel and overhead into a rate that still leaves a margin — a three-bed regular and a move-out deep clean are not the same job. Save the result in your price book and every estimate starts from it. Included on Essential and up.
How should I price a handyman job?Business owners
Work from your own costs, not a competitor's price. The free handyman pricing calculator turns labour, materials, travel and overhead into an hourly rate that holds up whether the job is one hour or a full day. Save the result in your price book and every estimate starts from it. Included on Essential and up.
How should I price a landscaping project?Business owners
The free landscaping quote calculator works from softscape and hardscape areas, site conditions, crew size, day rate, material costs, markup, margin and overhead — no equipment line. It does not write into your price book: email, print or download the result and enter the price yourself. Price book is on Essential and up.
How should I price a lawn care route?Business owners
Work from your own costs, not a competitor's price. The free lawn care pricing calculator turns drive time, mowing time, fuel and overhead into a per-visit price that still works on the twentieth lawn of the day. Save the result in your price book and every estimate starts from it. Included on Essential and up.
How do I work out what to charge?Business owners
Work from your own costs, not a competitor's price. The free pricing calculators turn labour, materials, travel and overhead into a rate that leaves a margin, and your services and booking forms then bend to your trade rather than the other way around. Save the result in your price book and every estimate starts from it. Included on Essential and up; on-site checklists are Premium and up.

How should I price a tree job?Business owners
The free tree care calculator prices a removal, crown work or a stump grind from crew, days, disposal, crane hire, insurance and a risk loading for where the tree stands. It saves nothing: email yourself the numbers, then enter the price in your price book, on Essential and up.
Can it handle recurring cleaning appointments and payments?Business owners
Yes — weekly and biweekly cleans run on appointment subscriptions, and recurring payments collect themselves on schedule. Included on Growth.
Can BizBaby manage invoicing and timely payment collection?Business owners
Yes — an invoice goes out the moment the job is done and the customer pays by card or bank. All of that is on Essential, which is free. What Premium adds is the chasing: automatic follow-ups that keep asking so you do not have to.
What tools help me get paid for landscaping projects?Business owners
An estimate converts to an invoice in a click and the customer pays by card or bank — all on Essential, which costs nothing. Premium adds the automatic follow-ups that chase a late payer for you, and the client cabinet they can pay from.
How does BizBaby help me get paid promptly?Business owners
A one-off job invoices on completion and takes card or bank payment on Essential, free. Premium adds automatic follow-ups for the ones who forget. Growth adds the recurring payment subscriptions that collect a route's money without anybody sending anything.
What types of customer information can be stored?Business owners
Contact details, one service address, files and photos, a free-text comment, and the job, appointment, invoice and payment history on one customer card. Import an existing list by CSV; the upload page lists the column names it accepts. There is no separate property record. Essential and up.
Can BizBaby handle one-time and recurring paint jobs?Business owners

What tools ensure timely invoicing and payment?Business owners
The invoice goes out the moment the job is done and the customer pays by card or bank, on the spot or afterwards — all on Essential, free. Premium adds the follow-ups that chase the rest politely, and the portal they can pay from.
How does payment work for one-time pool projects?Business owners
Quote it, get the approval, invoice on completion, take card or bank payment — the whole sequence is on Essential and costs nothing. Premium adds the automatic follow-ups that chase whoever has not paid.
How does BizBaby help with invoicing and prompt payment?Business owners
The invoice goes out the moment the job is done and the customer pays by card or bank — all on Essential, free. Premium adds the automatic follow-ups that chase the rest, which on a storm week is the difference between getting paid and remembering to ask.
How do checklists keep quality consistent?Business owners
Every clean carries its checklist; teams tick tasks and attach photos, so the same standard holds across every crew and location. Included on Premium and Growth.
Can it manage my appointments and scheduling?Business owners
Drag-and-drop scheduling with crews, statuses and customer notifications — no more double bookings or missed slots. Route optimisation puts the day's stops in a sensible order, and the day's work reaches whoever is doing it on their phone. Included on Essential and up.
What happens when weather forces schedule changes?Business owners
Move the job on the scheduler or with the move-to-tomorrow button and save; the appointment log records the change and who made it. Reminders already queued re-anchor to the new time on Premium and up. Nothing tells the customer their slot moved, so message them yourself.
How does it handle seasonal swings in demand?Business owners
Reschedule visits by dragging them one at a time, or move a whole recurring series by editing it - its next visit shifts with it. Rescheduling is on Essential and up. Pausing a series for winter and emailing last year's customers a spring campaign are on Growth.
Is customer information kept secure?Business owners
Yes — accounts are scoped to your organisation, access is permission-controlled, and customer data goes only to the verified customer it belongs to.
Does it support teams of different sizes?Business owners
From a solo painter to multiple crews across sites — assign anyone to any project and see the whole week at a glance.
Can BizBaby handle emergency plumbing services?Business owners
Yes. An emergency call becomes a job in seconds and you assign a worker to it from the job screen, on Essential. Telling the customer is a separate step: send the estimate or invoice by email, or use the Call and Message Center for calls and texts, which is Premium and up.
Can I track water quality and maintenance history?Business owners
Yes — every visit carries its checklist, and each step is recorded as done, not applicable or open with a note and photos, so the readings you take are written against that job and build the property's service history. There is no dedicated water-testing field; the note is where the numbers go, and the history sits on the customer rather than on a named pool. Included on Premium and Growth.
How does it help plan around seasonal weather?Business owners
Drag a job to another day or crew in the Scheduler's timeline and click Save Changes; the new time is what the crew opens in their worker app. No reschedule email goes to the customer, so tell them yourself. Appointments and the worker app are on Essential and up.
Can my teams communicate inside BizBaby?Business owners
Crew assignments and the job's note trail come with Essential and sit on the job itself. Texting a customer from your business number is Premium and Growth, and those threads live on the customer record rather than on the job. There is no worker-to-worker chat.
What features come with my subscription?Business owners
Essential, Premium and Growth all carry customer records, scheduling, estimates and invoicing, and card and bank payments, and they keep the website you bought hosted and editable. The website itself is a one-time purchase. Premium and Growth add texting and calling, checklists, automations and QuickBooks.
Can it handle both recurring maintenance and one-off projects?Business owners
Yes — weekly mowing runs on appointment subscriptions while a patio build runs as a project with its own estimate, crew, and checklist. Included on Growth.
How are recurring lawn appointments managed?Business owners
Set the series cadence once - weekly, every two weeks, monthly - and each visit is created with the same service and the same crew. Charging on a schedule is a second thing you set up: a recurring payment with its own cadence. Both are on Growth.
Can multiple team members work simultaneously?Business owners

Can it help with color consultations and accurate quotes?Business owners
Estimates are built from your own price book with room-by-room lines, so quotes stay accurate and consultations turn into approvals fast.
Can I track equipment and maintenance history?Business owners
Service history, yes — every visit to a property stays on that customer's card, so what you did there last time and who did it is one search away. There is no separate asset register for the boiler itself; the record lives on the property and the job, not on the equipment.
How do the tools help me manage leads?Business owners
Your website's Quick Request form creates a lead; a missed call does not - it lands in the Cockpit call log, where an automation can text the caller back. Follow-ups are reminders you set by hand. Leads are Growth. Campaign source is tracked on requests and appointments, shown in the Website Analytics report, Growth.
Does it fit solo arborists and large teams alike?Business owners

What happens with special client requests?Business owners
Add the extra task straight onto that job's or appointment's checklist. The crew sees it on site, and you can mark it as needing a photo before it can be ticked off. Checklists are Premium and Growth. Visits carry no checklist, and customers do not see checklists in the portal.

Can I generate reports and insights from my data?Business owners
Sales, Financial Summary, Services (Jobs), Services (Appointments), Itemized Services, Customers and Territory are built in on Essential and up. Traffic channels live in Website Analytics, which is Growth only. No report breaks results down by individual team member.
How do clients stay in the loop?Business owners
Appointment, estimate and invoice status emails go out on their own from Essential up. Reminders timed before the appointment start need Automations, on Premium and Growth. Progress photos are not sent automatically; you text them by hand from the message center, which needs Premium or Growth.
Does it help with recurring maintenance contracts?Business owners
Yes — inspections and maintenance visits run on appointment subscriptions with recurring billing to match. Included on Growth.
Can clients get automatic service reminders?Business owners
Automations send appointment and visit texts and reminder emails, and they are on Premium and Growth, not Growth alone. Seasonal offers go out as email campaigns, which are Growth. There is no post-visit service report sent to the customer; Service Report here is an internal jobs and appointments report.
Can I attach permits and photos to jobs?Business owners
Yes. Permits, assessments and completion photos attach to the job record and the crew opens them in the worker app, on Essential and up. The customer portal does not list job attachments, it shows estimates and invoices, so send the client anything they need to see yourself.

What are the processing fees?Business owners
Cards are 3.1% + 30¢ on Essential and 2.9% + 30¢ on Premium and Growth. Bank payments are 0.8%, capped at $5, on those same three plans.
Can I take deposits or down payments?Business owners

Do you support late fees and payment reminders?Business owners
Yes, on Premium and Growth — set due dates and late fees, and let automatic follow-ups chase an unpaid invoice for you.
What happens if a recurring payment fails?Business owners
It retries automatically — how many times and how far apart are both settings — and falls back to the customer's backup method if they saved one. When it finally gives up, the subscription is flagged and you get an alert, so a silent failure is not possible.
Plans & billing
What plans does BizBaby offer?Business owners
Essential, Premium and Growth. Essential is free, Premium is $59 a month and Growth is $89 — each including one user, with extra seats priced per plan.
How am I billed after the trial?Business owners
You pay a flat monthly plan fee for your access, plus usage as you go (things like text messages, calls and AI). You always see the breakdown, and usage is billed in increments so there are no surprises.
What counts as "usage"?Business owners
Usage is everything metered on top of your plan fee: calls, SMS and MMS, transactional and marketing email, AI Receptionist replies and answered calls, Website Builder AI, website pages past your plan's allowance, and storage past your included GB. The Usage page lists each one with its cost.
Can I change plans later?Business owners
Yes, up or down, whenever the business changes. Scheduling, invoicing and card payments are already on free Essential; Premium and Growth add calling and texting, automations, QuickBooks and the AI Receptionist.

Every plan includes one user — the owner. Extra seats are $10 each per month on Essential, $15 on Premium and $25 on Growth.

What happens after the included 90 days?Business owners
Choose Essential, Premium or Growth. If you pick none, the site stays published and hosted and the account drops to Essential at $0 a month. Essential includes one editable page; extra pages stay editable and bill at $5 each per month. Premium and Growth features switch off.
What happens to pages above my included amount?Business owners
Every active page stays editable on Essential, Premium and Growth. Pages above the included amount are prorated daily and billed at $5 each per month on Essential, $3 on Premium and $1 on Growth. Only the legacy Starter plan is limited to the homepage.
What happens if a monthly payment fails?Business owners
Your full paid plan stays available for seven days. If it is still unpaid on day eight the business moves to Essential, which is free — your data stays, and the paid-plan features stop until you pay.
How is usage collected?Business owners
Usage builds up as you use it and is charged once the balance reaches $20, rather than arriving as dozens of tiny charges. If that payment fails, the services that cost money to run — calling, texting and email sends — pause immediately until it clears.
Does BizBaby sell domains?Business owners
Bring the domain you already own — connecting it is included on every plan, hosting included. We do not sell domains, so buy it wherever you like. If you would rather not bother, the site stays reachable on its BizBaby address.
